How to Vet a Phone Wholesaler: 8-Point Checklist Before You Order

There are hundreds of phone wholesalers online, and at first sight many of them look the same: low prices, big stock lists and fast delivery promises. But the difference between a reliable trade partner and a risky one only shows after you have paid. Wrong grades, missing devices, unclear invoices or stock that never arrives can cost you far more than a slightly better price ever saves.

This 8-point checklist helps you vet a phone wholesaler before you place your first order. Use it for any trade partner you consider, including us.

1. Does the Wholesaler Hold Its Own Stock?

Many sellers in the phone trade are brokers. They advertise stock they do not own and only buy it after you pay. That is not always a problem, but it adds risk: longer lead times, last-minute changes and less control over quality.

Ask directly:

  • Do you hold the stock yourself, and where?
  • Are the devices tested and graded in your own facility?
  • Can you send a current stock list with models, storage sizes and grades?

A wholesaler with its own European stock can ship faster and stand behind what it sells.

2. Is There a Clear and Written Grading System?

For used phones, the grade is everything. One seller's "grade A" can be another seller's "grade B". A reliable wholesaler explains in writing what each grade means and which warranty comes with it.

At Coolmix, for example, used devices are graded AA+, CPO or ASIS. AA+ devices show minimal signs of wear and include a 30-day warranty, CPO devices are in like-new condition with a 1-year international warranty, and ASIS devices are sold as-is without warranty. You can read the full definitions on our page about wholesale refurbished iPhones.

3. How Are the Devices Tested?

Ask what is checked before a device is graded. A serious inspection covers at least:

  • Screen condition and touch functionality
  • Battery health and performance
  • Cosmetic condition of the housing
  • Cameras, buttons, ports and overall operation
  • Data wiping, so no personal information is left on the device

If a wholesaler cannot tell you how its devices are tested, that is a warning sign. Data wiping is especially important. Read more about ensuring data privacy with pre-owned iPhones.

4. Does the Wholesaler Check You?

It sounds strange, but a trade partner that asks for your company details is usually a better sign than one that sells to anyone. A KYC (Know Your Customer) check shows that compliance is taken seriously. Expect to share your company registration and VAT number before you can order.

5. How Is VAT Invoiced?

VAT is one of the most overlooked risks in the phone trade. Some sellers use the margin scheme, which means the VAT on the invoice is not shown separately and often cannot be reclaimed. Others invoice with standard VAT, which gives you a transparent invoice for your own administration.

Always ask how the wholesaler invoices, and check with your accountant what works best for your business. Coolmix invoices with standard VAT and does not use marginal VAT schemes.

6. Are Payment Terms Clear and Safe?

Payment upfront by bank transfer is normal in the phone trade. What matters is that the payment goes to a company account in the seller's own name, that you receive a proper invoice, and that the seller is a registered business you can verify. Be careful with sellers that only accept cryptocurrency, ask you to pay a private account or change bank details at the last minute.

7. Is the Wholesaler Visible in the Industry?

A reliable trade partner is not anonymous. Look for:

  • A registered company
  • Years of activity in the trade
  • Presence at industry trade shows
  • Named contacts and a dedicated account manager

Coolmix has been active since 2014, serves more than 2,500 retailers and 450 wholesalers and distributors, and regularly exhibits at trade shows such as GITEX, IFA and ITC Malta.

8. What Happens After Delivery?

The real test of a trade partner is what happens when something goes wrong. Ask about:

  • How returns and warranty claims are handled
  • How fast issues are answered
  • Whether you have a single contact person for after-sales questions

Frequently Asked Questions About Vetting a Phone Wholesaler

How do I know if a phone wholesaler is legitimate?

Check that it is a registered company, invoices properly, holds its own stock and has a track record in the trade. A KYC check on your business is a good sign.

What is the difference between a wholesaler and a broker?

A wholesaler owns and ships its own stock. A broker sells stock it does not own yet and buys it after you pay. Brokers can be fine, but they add risk on timing and quality.

Should I always choose the cheapest offer?

No. A very low price often comes with unclear grading, unknown origin or poor after-sales support. Compare the total cost, including returns and VAT.

Do phone wholesalers sell to private persons?

Reliable wholesalers sell to businesses only and ask for company details before you can order.

What warranty should I expect?

It depends on the stock. Brand new iPhones come with manufacturer warranty. For used devices the warranty depends on the grade, so always ask for the warranty terms per grade in writing.
